Gallery & Grants Manager
DVAA is seeking dynamic candidates for the regular full-time position of Gallery & Grants Manager
This is an exciting time for arts programming in the Upper Delaware Valley/Sullivan Catskill region. With immense talent that is both locally based and engaged in the area, the arts are central part of our area’s identity. Our audiences are informed and curious, with a strong interest in high-caliber offerings.
This regular full-time position includes two distinct but interconnected portfolios – Management of DVAA’s Galleries and related programming and Management of DVAA’s Grants Services, Scholarship, and Technical Assistance offerings.
As a member of the Delaware Valley Arts Alliance’s (DVAA) team this role plays a vital part in advancing DVAA’s mission, to advance and encourage arts in the region through support of artists and performers with year-round presenting opportunities and of other local arts organizations and arts activities through arts resources including funding and advocacy.
The position reports directly to the Executive Director

Essential Duties and Responsibilities
GALLERY MANAGER PORTFOLIO:
The Gallery Manager is the primary manager and contact person for DVAA’s Visual Arts programming and is responsible for the coordination and implementation of DVAA’s exhibitions, interpretive programming, and related projects that fall under the sphere of the Visual Arts.
Responsibilities and time allocations include :
- Managing and implementing the annual calendar of 12-14 exhibitions (including solo, two-person, and curated group shows), presented in DVAA’s two primary gallery spaces.
- C0-organizing community pop up exhibitions including “Art & Bloom.” Communicating with artists and guest curators.
- Installing and deinstalling exhibitions
- Coordinating installation and event volunteers as needed.
- Editing texts provided by artists and/or curators including but not limited to artist statements.
- Producing interpretive materials including gallery-related signage, programs, and checklists.
- Scheduling and hosting special events including gallery talks.
- Assisting in the marketing efforts including print and social media.
- Overseeing annual committee review of exhibition proposals.
- Nurturing relationships with the region’s ever-growing and evolving artist community.
- Maintaining program records.
- Assisting in the organization and implementation of DVAA’s annual Riverfest (held annually on the 4th Sunday of July).
- Coordinating the Poster Auction including but not limited to identifying potential artists, distributing poster boards, preparing lots for online bidding, gallery display, and related aspects.
- Working with DVAA staff to facilitate artisan vendor participation.
- Supporting program-related fundraising efforts including but not limited to the afore mentioned Riverfest Poster Auction.
GRANTS MANAGER PORTFOLIO
As the administrator of DVAA’s two re-grantmaking programs in Sullivan County – Arts for Sullivan and the Sullivan County Arts and Heritage Grants program – you will actively engage with artists and arts organizations across Sullivan County to cultivate a diverse pool of applicants and ensure an equitable and inclusive grant review process.
Additionally, you will administer DVAA’s advocacy of the grantee and the broader area’s cultural activities and coordinate DVAA’s “Technical Assistance” offerings which serve to support artists and the cultural community of our region and provide access to best practices. DVAA’s two donor-funded scholarships for graduating high school students in the areas of visual art and music are also overseen by the Grants Manager.
Responsibilities include:
- Managing the application process, including but not limited to updating grant program goals, guidelines, and priorities – in keeping with NYSCA guidelines and regional priorities, conducting outreach, and providing technical assistance to potential applicants to ensure a fair and equitable application process.
- Conducting outreach throughout the county to ensure program fulfills its Diversity, Equity, Inclusivity, and Access goals.
- Assembling and facilitating the panel review process.
- Managing all applicant and grantee communications.
- Coordinating the production of the annual award presentation event.
- Facilitating the auditing process both directly and indirectly of grantee events.
- Maintain program records.
- Working to produce Technical Assistance offerings to grantees and the larger arts community to further strengthen our region’s cultural community.
- Promoting grantee activities via DVAA’s social media platforms, online calendars, and publications.
- Working in collaboration with assigned staff to feature grantee events on DVAA’s weekly Arts Happenings email featuring regional cultural activities, opportunities, and arts resources.
- Contributing to “advertorial” initiatives to spotlight Grantees and DVAA Regrant Programs.
- Working with Executive Director and staff to conceive and plan marketing and outreach efforts for designated program opportunities.
- Drafting program-related press communications for distribution by Communications Manager.
- Assisting in the creation of digital, video, audio, and print content for @artsforsullivan social media accounts.
- Administer two donor-funded regional scholarship offerings – the Bodenstein Scholarship for Achievement in Music and the Stanley Segal Scholarship for the Visual Arts.
Other responsibilities include:
- Working with Executive Director, identify new opportunities and special projects that will advance the voice of artists in the region.
- Contributing to the overall programming goals and vision of the DVAA.
- Supporting the production of DVAA’s print publication The Landscape (tentatively to be launched in 2024).
- Providing general office support including but not limited to answering phones, greet visitors, and provide sales support in SHOP DVAA.
- Other related duties as requested.
Qualifications
You are right for the job if you possess strong skills in the following areas:
- Exceptional communication and organizational skills.
- Ability to manage projects independently and as part of a team.
- Research, writing, and editing skills.
- Attention to detail, and ability to follow through on multiple priorities.
- Proficiency with MAC Operating System, Microsoft Office, social media, and email marketing software.
- Valid Driver’s License and reliable mode of transportation.
- Experience in administering a grants program including knowledge of online submission platforms (e.g. Submittable.com) and hosting convenings on online meeting platforms (e.g. Zoom)
Familiarity with the following areas will be an even bigger plus:
- An understanding and enthusiasm for the valuable role the arts play in the social and economic fabric of Sullivan County and the Upper Delaware Region
- Bi- or Multi-lingual including Spanish
- Public speaking experience
- Communications experience utilizing social media and email marketing
- Event planning
Schedule
The position schedule is 40 hours on average per week position. Regular staff hours are Tuesday – Saturday, 10 am – 6 pm.
Flex time is available to accommodate attending work-related events on off hours. Flex time is also offered to meet key deadlines and/or provide support at essential DVAA events.
Location
The position is performed on site at DVAA’s 37 Main Street location. DVAA maintains a virtual work environment to accommodate for interruption of in-person workplace.
Benefits
Full-time staff receive 15 days of paid vacation/personal time in addition to a paid week off between Christmas and New Year’s Day. Increased to 20 days after four years of employment.
Full-time staff are eligible to participate in DVAA’s 403b retirement plan and receive up to $50 in matching funds per pay period.

DVAA presents engaging programs in the visual, performing, literary, and media arts.
